About the Company

We are seeking an experienced, detail oriented Legal Assistant to join a fast paced litigation team handling first party property and general liability insurance defense matters. This is a remote position, but candidates must reside in Florida.

About the Role

This role supports attorneys in high volume insurance defense litigation. The ideal candidate must be able to perform scheduling, calendaring, template discovery, subpoena preparation, deadline tracking, and file management.

Responsibilities

• Manage litigation files from intake through resolution
• Maintain attorney calendars, deadlines, hearings, mediations, depositions, and trial related tasks
• Schedule hearings, depositions, inspections, mediations, and client meetings
• Draft and issue template discovery, including interrogatories, requests for production, and requests for admissions
• Prepare discovery responses, objections, and related document production support
• Draft and issue non party notices and subpoenas to medical providers, employers, vendors, custodians of records, and other third parties
• Track subpoena compliance and follow up to ensure timely production
• Obtain, organize, and summarize records, invoices, photographs, estimates, claim documents, medical records, and billing materials
• Assist with deposition preparation, including exhibits, chronologies, and document organization
• Coordinate with attorneys, clients, adjusters, experts, vendors, court reporters, and opposing counsel
• Assist with e filing, service, case management updates, and litigation task tracking
• Ensure files remain organized, current, and ready for hearings, mediations, and trial
• Support trial preparation as needed

Qualifications

• Minimum of 2 years of experience as a legal assistant in an insurance defense firm preferred
• Florida residence required
• Experience with first party property defense and general liability defense preferred
• Strong experience with discovery, subpoenas, scheduling, calendaring, and litigation file management
• Familiarity with Florida civil procedure, e filing, and litigation deadlines
• Ability to manage high volume litigation files efficiently
• Strong written and verbal communication skills
• Excellent organization, follow through, and attention to detail
• Experience working with insurance carriers, adjusters, and institutional clients preferred
• Proficiency with case management systems, Microsoft Office, and e filing platforms
